Issue an invoice: numbering, locking and the monthly limit
What happens when you press Issue invoice: sequential number, locked lines, issue and due dates, and the monthly counter.
Last updated:
Issuing turns a draft into an official document. Open the draft and press Issue invoice, then confirm the message warning that you will not be able to edit it afterwards.
What happens
- A sequential number made of prefix, year and counter, e.g. INV-2026-000123. The prefix comes from the seller profile (default INV). Numbers run in sequence and are never reused.
- Issue date and time in Riyadh time, and a supply date (the issue date if you left it empty).
- Due date: what you entered, otherwise the Default days to pay (14 by default) added to the issue date.
- Locked lines: "Lines of an issued invoice are locked and cannot be changed." There is no edit button after issue.
- The seller details are stored at issue time, so changing the seller profile later does not alter invoices already issued.
- An XML file, a QR code (simplified invoices) and chain data (invoice counter and hash) are created and shown at the foot of the invoice page.
- The owner receives a notification if someone else issued it. The Fatoora status stays Not sent — not connected to ZATCA yet; read ZATCA status.
Correcting an issued invoice
No deleting or editing: use a credit or debit note.
The monthly limit
The Free plan allows 3 issued documents per calendar month (Riyadh time), counting invoices, credit notes and debit notes together. The draft shows how many remain beside the Issue button; when they run out the button is disabled and you see "No invoices left to issue this month". Solo and Firm have no limit. See Compare plans.
