Create an invoice from time and expenses
Create a draft invoice for a matter in a few steps, import unbilled work and check lines and VAT before issuing.
Last updated:
An invoice starts as a draft: it has no number and the client cannot see it, and you can edit or delete it freely until you issue it.
Steps
- Open Invoices & accounts then New invoice. Or press Invoice beside a matter in Unbilled work by matter, or New invoice on the matter page.
- Choose the Matter (its client is taken automatically) or just the Client for an invoice without a matter.
- Choose the Invoice type:
- Simplified tax invoice (B2C): carries a QR code.
- Tax invoice (B2B): for businesses and government; needs the buyer's VAT or CR number.
- Keep Import this matter's unbilled work ticked and choose what comes in: time (One line per lawyer, One line per entry or No time), Expenses, and Fee arrangement items. Then Create draft.
- In the draft editor check Buyer (client), Document details (supply date, due date, notes) and Lines.
- Press Save draft.
Lines and VAT
Add a line manually with Add line (description, quantity, unit price, discount). Each line has a VAT category: Standard 15%, Zero-rated, Exempt or Out of scope; anything other than standard needs an Exemption reason. Amounts are calculated on the server and totals update as you edit.
You can import again with Import on the edit page (save your edits first). Imported work is never billed twice, and removing a line sends its entries back to unbilled.
