Credit notes, debit notes and voiding an invoice

How to correct an issued invoice with a credit or debit note, and how to void it with a full credit note.

Last updated:

An issued invoice cannot be deleted or edited. You correct it with a document linked to it.

Steps

  1. Open the issued invoice and, on the side, open Credit note / Debit note / Void invoice.
  2. Write the Reason (required).
  3. Choose:
    • Credit note: to reduce what the client owes (agreed discount, wrong quantity).
    • Debit note: to add an amount.
    • Void invoice: a credit note for the full value.
  4. You land on the draft note: edit its lines, then issue it like any invoice.

Rules

  • A credit note cannot exceed what is left of the original invoice after earlier credits; otherwise you see "The credit note exceeds what is left of the original invoice."
  • Void invoice copies every line of the invoice if it has no earlier credits; otherwise the draft starts empty and you add the lines yourself. When an issued note covers the full value the original invoice becomes Void and the owner is notified.
  • Notes appear under Linked notes on the original invoice and reduce the Balance in statements and ageing.
  • You cannot record a payment on a credit note.
  • Each issued note counts toward the Free plan's monthly document limit.
