Change a member's role, deactivate or reactivate
How to change a colleague's role or stop their access, and the rules that protect the last Owner.
Last updated:
From the Members page (Settings, then Members) Owners and Partners manage the firm's members.
Change a role
- In the member's row open the role list and choose the new role.
- Click Change role, which appears beside the list. You see Role changed ✓.
The new role applies immediately. Compare roles in Roles and permissions.
Deactivate a member
- Click Deactivate in the member's row.
- Confirm: "Deactivate this member? They lose access immediately and their seat is freed."
You see Member deactivated ✓. Their data and work in the firm remain, and their seat is freed. On the Firm plan the paid seat count adjusts automatically (minimum 3).
Reactivate
Click Reactivate. This needs a free seat and the firm must not exceed its plan's user limit, otherwise the seats or limit message appears.
Rules
- "Not possible: at least one owner must remain." The last Owner can't be demoted or deactivated; promote another member to Owner first.
- "Only an owner can change or deactivate an owner." A Partner can't touch an Owner or grant the Owner role.
- "You cannot deactivate yourself."
- A deactivated person sees the firms page instead of the firm.
