Record expenses and receipts
Add matter expenses (fees, translation, travel), attach the receipt and choose what is charged to the client.
Last updated:
Expenses are what the firm pays on a matter (fees, translation, attestation, travel…) and may charge to the client. Any member can record them from Time & expenses or from Fees & time inside a matter.
Add an expense
- In the Expenses section press Add expense.
- Choose the Matter, write the Description (e.g. translation fee) and the Date.
- Enter Amount (excl. VAT). If VAT applies, press the 15% button to fill VAT, or type the amount.
- Tick Charge to client if you will bill it.
- Receipt: No receipt, Link an existing document from the matter's documents, or Upload a receipt. Then Save.
Edit and delete
You can edit or delete an expense while it is not on an invoice; after that it shows On an invoice and is locked. Lawyers and paralegals see only their own expenses.
How it appears on the invoice
When you import unbilled work, each billable expense becomes its own line:
- If VAT is above zero it becomes a standard-rated line at 15% on the amount.
- If it is zero it becomes an Out of scope line with the reason "disbursements paid on the client's behalf".
You can change the VAT category and reason in the draft editor. The correct VAT treatment of expenses is a decision for your accountant.
