Edit, approve and write off time entries
Time entry statuses (draft, approved, billed, written off) and who can edit, delete and approve.
Last updated:
Each time entry has a status shown in the Status column: Draft, Approved, Billed, Written off. Owners, partners and the accountant see and manage everyone's entries; other members see only their own.
Who can do what
- The entry's owner (any role): edits it while it is a Draft.
- Owner, partner, accountant: edit entries that are Draft or Approved.
- Delete: drafts only.
- Billed and Written off are locked. You will see "This entry can no longer be edited (approved or billed)."
Approve or write off entries
- Open Time & expenses and narrow the list by Member, Matter, Status or dates, then Apply.
- Select entries (or Select all).
- Press Approve selected to move drafts to Approved, or Write off selected for entries that will not be billed (it asks you to confirm). A message tells you how many entries changed.
What about invoicing?
Approval is not required: when you build an invoice, billable Draft and Approved entries are both picked up. Approval simply lets a partner review hours before they reach the client. Once the invoice is issued the entries become Billed. If you delete the draft or remove a line, its entries go back to unbilled.
