Trust: add an account, record deposits and withdrawals, pay an invoice

Steps to add a trust account, record deposits, withdrawals and refunds, pay an invoice from a client's balance and handle refusals.

Last updated:

Add a trust account (once)

  1. Open Trust from the Invoices & accounts tabs.
  2. Press Add a trust account and write the Account name, Bank and IBAN (SA followed by 22 digits).
  3. Press Save account. Without an active account you see "Add a trust account first to record entries."

Record an entry

  1. Under New entry choose the Entry type:
    • Deposit: money the firm received for the client.
    • Withdrawal: money that left the account.
    • Refund to client: money returned to them.
  2. Choose the Client (a contact with the client role) and Account, plus Matter (optional), Amount, Date, Reference (transfer or cheque number) and Description.
  3. Press Record entry and confirm: "Record this entry? It cannot be changed afterwards."

You can also record from the client's ledger page (click their name under Client balances), which shows the Current balance and each entry with its running balance.

Pay an invoice from trust

On the issued invoice open Pay from client trust (it shows the client's balance), enter the amount and date, then Pay from trust. An Applied to invoice entry is written to the ledger and a payment with method From trust is recorded on the invoice. The amount cannot exceed the invoice balance or the client's trust balance.

Common messages

  • "The client's balance is too low for this withdrawal": this client's balance is below the amount. A client's trust money cannot be paid out beyond their balance, even if the account holds money for others.
  • "This client has no trust balance" or "No active trust account for the firm" when paying from trust.
  • "Choose an active trust account": activate an account or add one.
  • Deleting a payment that was taken from trust adds a correcting deposit; it does not erase the original entry.
