Mark a lead as lost and reopen it

How to close a lead that did not go ahead, record the reason, and reopen it later.

Last updated:

If the prospective client declines, you decline, or contact goes quiet, move the lead to Lost instead of deleting it, so you keep a record and can learn why leads are lost.

From the board

  1. Drag the card to the Lost column, or choose Lost in the Move to menu.
  2. A box asks for the Reason for losing the lead (optional). Write it (for example: fees too high, chose another firm) and press Confirm.

From the lead page

  1. Open the lead and press Mark as lost.
  2. Write the reason in Reason for losing the lead (optional) and confirm.

The lead then shows Lost (the date) and Lost reason, and you see "Lead marked as lost."

Reopening

Did the client come back? Open the lead and press Reopen, or drag it from the Lost column to another stage. The lost date and reason are cleared on reopening, and the move is recorded in the lead's activity log.

Permanent deletion

The lead page has a Delete lead button that removes it permanently after you confirm "Delete this lead permanently?". It cannot be undone, so Lost is usually the better choice.
