What happens when a client submits an intake form
How a response becomes a contact, a lead and a notification, where to review responses, and the form's abuse protection.
Last updated:
When a visitor presses Send request, this happens automatically:
- Validation: required fields and the mobile, email and ID formats are checked. Data-processing consent is required, otherwise the visitor sees "Consent to data processing is required to send your request."
- Contact: if your firm already has a non-archived contact with the same mobile number, that record is reused and not duplicated. Otherwise a new contact is created with the role Client and the source Intake form, with data-processing consent recorded.
- Lead: a lead is created in the New stage with the source Intake form; its summary is the problem description (or the form answers).
- Notification: the owners and partners get an in-app notification and an email, "New request via intake form", with a link to open the lead.
- The visitor sees "Your request was received" with Call and WhatsApp buttons if the firm has a number.
Where do I see responses?
Settings → Intake forms, then click the form name or View responses. Each response shows the date, the answers, the consent status and links to the contact and the lead. Responses keep a snapshot of the form's questions at submission time, so they do not change if you edit the form later.
Why did a response not arrive?
- The form is Paused, or your firm's Practice subscription is not active: the visitor sees "This form is closed".
- The visitor did not agree to data processing or made a field error.
- Abuse protection: 5 submissions per hour per visitor address on one form, and 60 per hour for the whole form. After that: "Too many requests were sent, please try again later."
